Privacy Policy
How flexd handles your information, enquiries and analytics choices.
Last updated: 20 October 2026
Who is responsible for your information?
flexd Limited, trading as flexd, is responsible for personal information collected through this website and our business enquiries. Business address: to be confirmed. Use our enquiry form to request an email reply about privacy or your data rights. We’ll contact you to discuss your request.
This policy covers the public website, demo and pricing enquiries, and existing restricted workspaces. Where an operator uses a workspace to process client information on its own behalf, its privacy responsibilities and any applicable service/data-processing agreement also apply.
Information we collect and why
| Information | Purpose and lawful basis |
|---|---|
| Enquiry details: name, work email, company/agency, agent or operator role, building count and submission date. | To respond, explain pricing and arrange a demo. Our basis is legitimate interests in handling business enquiries, or taking requested steps before a contract where applicable. |
| Identity supplied by ChatGPT sign-in, including a site-specific user ID and email; optional display name; workspace profile and role. | To authenticate authorised users and control access. Our basis is legitimate interests in secure access and, where applicable, performing a service agreement. |
| Information entered into restricted workspaces: building details, client/business requirements, partner details, qualification briefs, viewing arrangements, comments and activity history. | To provide the authorised shared workflow. The applicable basis and controller/processor roles depend on the business relationship and service agreement. Users must be entitled to share the information they enter. |
| Technical information such as IP address, browser, device, request details and security logs processed by our hosting providers. | To deliver, protect and troubleshoot the website. Our basis is legitimate interests in operating a secure service. |
| Optional Google Analytics information, including pages visited, approximate location, device/browser, referral source and successful enquiry events. | To understand use and improve the website, based on your consent. Analytics does not load until you accept. |
There is no statutory requirement to send an enquiry. Fields marked as required are needed for us to handle it. Submitting a form does not subscribe you to marketing emails. We do not collect card details through these forms or use them to take payments.
Who can see your information?
Submitted enquiries are stored in the site database and are accessible through the owner-only dashboard, including an export for follow-up. They are not shown publicly or automatically shared with agents or operators. No automatic enquiry notification emails are currently connected.
Restricted workspace information is available to authorised users according to the workspace’s sharing permissions. A shared opportunity can expose relevant information and updates to its authorised business participants. It does not make the operator’s wider CRM available.
We use OpenAI/ChatGPT Sites and its hosting infrastructure, including Cloudflare, to host the site, provide authentication and store records. Google receives analytics information when you consent. We may also share information with professional advisers or authorities where necessary to meet a legal obligation or protect legal rights. We do not sell enquiry information.
Providers may process information outside the UK. You can contact us for details of the providers, processing locations and transfer arrangements relevant to your information. Google’s handling of information is explained in its Privacy Policy.
How long we keep information
We keep enquiry records for as long as needed to handle the request, relevant follow-up and any resulting business relationship, and to address legal obligations or disputes. Retention depends on the purpose and whether the relationship remains active. Records are managed manually; submitting an enquiry does not start an automatic deletion timer.
Workspace information is kept for the relevant business relationship and applicable agreement, subject to necessary legal retention. Technical logs and analytics information follow the relevant provider’s retention settings. Contact us about retention or deletion of a particular record.
Cookies and browser storage
You can accept or reject optional analytics using the banner, and change your choice using the Cookie settings button. Rejecting analytics does not prevent you from browsing or sending an enquiry.
- Analytics preference: the browser stores your choice for up to six months.
- Google Analytics: if accepted, Google may set analytics cookies, including cookies beginning with
_ga. These identify browser sessions and help measure website usage. Google signals and advertising personalisation are disabled in our tag configuration. Google’s standard analytics cookies may last up to two years and be refreshed on later visits; browser settings can shorten this. - Enquiry confirmation: a short-lived first-party marker lasts up to ten minutes so a saved enquiry can trigger one analytics event after consent. The marker contains no form answers.
- Public demo: browser local storage holds example clients, deals and demo changes until you reset the demo or clear the browser’s site data. Do not use it for real client details.
- Hosting, security and sign-in: our providers may use cookies needed to deliver the site, protect it and maintain authenticated access.
Our analytics events do not include the form’s name, email or company answers. Withdrawing analytics consent disables further analytics collection in that browser and removes accessible analytics cookies; it does not automatically erase information already received by Google. You can also clear cookies and local storage through your browser.
Your choices and rights
Depending on the circumstances, you can request access to your information, correction, erasure, restriction, or a portable copy. You can object to processing based on legitimate interests and withdraw consent to analytics at any time. Withdrawing consent does not affect processing already lawfully carried out. Rights may be subject to legal conditions and exceptions.
Use our enquiry form to request a reply about a privacy matter. The form is also used for demo enquiries; requesting a privacy reply does not commit you to a demo or marketing. Once we reply, you can explain your request by email. We may need information to verify your identity before disclosing or changing records. We do not use the website information to make solely automated decisions with legal or similarly significant effects.
Concerns and complaints
Please contact us first so we can investigate. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Changes to this policy
We will update this policy when our handling of information changes, including when new integrations or services are introduced. The date above identifies the current version.
